Time is the most precious resource and we’re all trying to make the most of it. Although there are many ways to be productive and get more things done quickly, not all of them are effective.


I’m sure you have a regimen to be efficient and organized. But have you ever wondered if it’s working, and how it can be improved?


Here are 5 productivity adjustments you need to make the most of your time:


1. Dump your to-do list

Productive people don’t rely on to-do lists anymore, they schedule all their tasks in their calendar and directly work off of it. To-Do lists can be ineffective and hinder your productivity.


When you schedule a task in your calendar, you’re committing to get it done at a specific time, and are more likely to do it.


Most to-do lists start by allowing you to build a list of items, and then make you repeat all the tasks that you could have otherwise done via email or calendar – such as adding reminders, inviting teammates, sending messages and so on.


Today, the seamless integration between calendar and email has made to-lists an unnecessary overhead. You don’t need a separate list to tell you what you need to do. It’s just a never ending list of items that can make you feel overwhelmed, or give you a false sense of productivity.


2. Don’t motivate yourself

You don’t have to be motivated if you really want to do something in life. Do you have to motivate yourself to get an ice cream in summer?


Productive people apply disciplined effort to do what they need to do, whether they’re motivated or not.


The problem with motivation is that whenever we encounter difficulties, we might tell ourselves that we’re not motivated enough to get the job done. Instead of facing the problem head on and figuring out why things aren’t working, we’ll end up wasting time on motivating ourselves.


To be more productive, it’s essential to live in the moment and take action, and give up on motivation. Focus on what you need to do to get the results you want.


3. Have a morning routine

Wake up early and put yourself into a productive mode by following a routine and eating a healthy breakfast. Productive people start their day with some sort of routine – whether it’s meditation, exercise, spending time with their family, etc. And they couple it with a healthy breakfast that fuels their day.


Health and productivity go hand-in-hand. You can’t be productive if you’re not healthy. What you eat will affect your productivity.


Don’t check your inbox and chat notifications till you complete your routine. They’re unpredictable and can drive your mornings in any direction.


Also, ensure you follow the same morning routine everyday, whether it’s a weekday or weekend. This will make it easier to stick to your routine.


4. Work backwards

Productive people are always driven by their goals and focus on activities that will take them closer to their destination. They don’t waste time & effort on things that are not related to what they want to accomplish.


They do this by planning backwards. Look at the end result you want to achieve, identify the tasks that need to be done to reach your goals, and break them into daily/weekly actions.


Ensure that your each day consists of at least one task that supports your long-term goal, your big dream.


5. Schedule tasks according energy levels

You can’t be highly productive throughout the day. We all have energy cycles. Some work best in the mornings while some are night owls.


So plan your tasks according to how you feel during different parts of the day. Schedule tasks that require focus and concentration during those times of the day when you feel the best and are capable of delivering your best performance.


Complete your filler tasks when your energy levels are down. This way you’ll be able to plan your day more realistically and set yourself up for wins.
